Job Title: Service Writer

Department: Service

Reports To: Service Manager/Complex Service Manager

 

Summary of Position:

The Service Writer uses his/her knowledge of agricultural or heavy equipment to help customers professionally and efficiently. The Service Writer helps the Service Manager and/or Shop Foreman with the daily operations of the service department. Daily tasks include opening work orders, updating work descriptions, managing the time clock, keeping staff training up-to-date, general recording keeping and customer service.

 

Duties and Responsibilities  

Duties and responsibilities may include, but are not limited to the following: 

  • Book appointments for unit service or repairs.
  • Open work orders and enter descriptions as work is completed.
  • Make sure all work orders are closed and printed twice a month.
  • Assemble close out packages for customers.
  • Manage the time clock for all employees within your dealership store location.
  • Update warranty records and send out warranty letters to customers.
  • Track service monthly labour, reworks, aftersales, training charts, shop supplies, service expenses and technicians’ hours worked.
  • Update units being transferred to different stores.
  • Quote and bill each store according to trucking log sheets.
  • Monitor training levels of technicians to ensure that they are up-to-date. Book training courses as needed.
  • Follow company safety procedures and help ensure that others follow them as well. For example, daily forklift inspection checklist.
  • Record quarterly safety minutes.
  • File and oversee WHMIS, fall arrest, forklift and other safety training.
  • Handle customer inquiries regarding work in process, appointments and return phone messages promptly.
  • Courteously handle customer complaints and misunderstandings as required.

 

Job Requirements:

 

Education/Experience      

  • High school or post-secondary diploma/degree
  • Previous customer service or administrative experience is an asset

 

Technical/Professional Knowledge

  • Knowledge of the agricultural industry and heavy equipment.
  • Strong customer service and troubleshooting skills.
  • Strong attention to detail and high degree of accuracy.
  • Well organized.
  • Comfortable working with computers, spreadsheets and data entry.
  • Ability to effectively communicate both verbally and in writing.
  • Strong work ethic and positive team attitude.

 

Work Conditions:

  • Ability to work a flexible schedule.
  • Overtime may be required.

 

Compensation:

Compensation will be based on experience.
